Manage licenses and permissions
Unique Learning System helps schools and districts deliver differentiated instruction while providing visibility into implementation, usage, and student progress.
Configure subscriptions, assign permissions, and ensure staff have the access they need to successfully use Unique Learning System.
Understanding roles and permissions
A successful implementation starts with giving the right people the right level of access. Depending on their responsibilities, staff may need different permissions within the platform.
Common roles include:
Subscription Manager
Manages licenses, subscriptions, user accounts, and permissions across the district or school.
Administrator
Monitors implementation, reviews usage and reporting data, and supports educators throughout rollout.
Educator / Classroom Owner
Manages students, classes, assignments, and instructional content.
Service Provider
Supports student services and may require access to student information and planning tools.

Managing subscriptions
Whether adding a single user or importing staff in bulk, each user should:
- Receive the correct subscription
- Receive the correct grade band
- Register using their invitation email
Add users and assign licenses
Subscription Managers can add educators and staff individually or through bulk import.
When adding a user:
- Add the staff member's name and email address
- Assign the appropriate subscription(s)
- Select the correct grade band(s)
- Assign any required permissions or administrative roles
- Send the registration invitation
Once assigned, the user will receive an email invitation and must complete registration through that email before they can access the platform.
Quick implementation checklist
Before moving on, confirm that:
- Subscription Managers are registered
- Staff licenses have been assigned
- Appropriate permissions have been configured
- Grade bands have been assigned
- Registration invitations have been sent
- Key implementation team members have access
Once staff have access, it's time to prepare your implementation structure and support educators through onboarding and classroom setup.

Manage educators, students, and users
Add, manage, and support educators throughout implementation.
To add and manage teachers and staff, you must be a registered Subscription Manager and use the Manage Faculty and Students section. You can access this by navigating to the My Account drop-down menu.
Use the Manage Faculty and Students area to:
Add educators and staff
Use the Manage Faculty and Students area to add staff, assign subscriptions and manage access.
Add a single user
To add an individual teacher or staff member:
- Navigate to Add Users and select Single User Setup
- Enter the staff member's name and email address
- Verify the user
- Assign any required permissions, such as Administrator or Subscription Manager
- Select Add License and assign the appropriate subscription and grade band
Add multiple users
For larger implementations, use Bulk Import New Licenses to add multiple staff members at once.
Select:
- Subscription(s) you want to assign
- Appropriate grade bands
- Staff details to import
Once licenses are assigned, staff will receive an email invitation and must complete registration through that email before accessing the platform.
Manage existing users
As staffing responsibilities change, you can update existing user access.
Edit subscriptions and permissions
To update an existing user:
1 Open the Faculty tab
2 Locate the user
3 Select the three-dot menu and choose Edit Person
From here you can:
Add a subscription
- Select Add License
- Choose the subscription and grade band
- Save changes
Remove a subscription
- Select the pencil icon beside the subscription
- Choose Remove License
Replace or remove staff
Replace a user
If a teacher leaves your district, you can transfer their license and classroom setup to a new staff member.
1 Locate the user in the Faculty tab
2 Select the three-dot menu
3 Choose Replace User
4 Enter the new staff member's email address and details
5 Save changes
This helps maintain continuity without rebuilding classroom structures from scratch.
Remove a user
To completely remove a staff member:
1 Locate the user in the Faculty tab
2 Select the three-dot menu
3 Choose Remove
Before removing a user, ensure any students assigned to their classroom have been dropped or reassigned to another educator.

District and school setup
Prepare your implementation structure before rolling out Unique Learning System to educators and students.
Implementation checklist
A successful implementation typically follows these five steps:
1 Complete administrator registration
Subscription Managers and Administrators must first activate their own accounts.
After receiving your invitation email:
- Open the registration link
- Complete your account setup
- Accept the Terms of Use and COPPA agreements
- Confirm access to the Administrator Dashboard
Your account must be fully registered before you can assign licenses, manage users or monitor implementation.
2 Add faculty and assign licenses
Once administrative access is established, add educators and service providers to the platform.
For each user:
- Assign the appropriate subscription
- Assign the appropriate grade band
- Apply any required permissions
- Send the registration invitation
Teachers must complete registration through their invitation email before they can begin setting up classrooms.
Whenever possible, assign grade bands that align with the chronological grade levels of the students. For example, Preschool, Elementary K–2, Intermediate 3–5, etc.
3 Create an administrator sample classroom
Administrators can create a sample classroom to better understand the educator experience.
A sample classroom allows you to:
- View lessons and activities
- Explore grade-band content
- Experience the platform from a teacher perspective
- Better support educators during implementation
This is particularly useful for leaders who do not have a dedicated teaching license.
4 Support student rostering
After teachers are registered, they will begin building their classroom structures.
Educators typically:
- Add or locate student accounts
- Assign students to programs
- Select grade levels and grade bands
- Configure differentiated levels
- Organize students into instructional groups
Administrators may also assist with student setup and roster management when required.
5 Prepare monitoring and oversight
Implementation should include a plan for ongoing monitoring and support. Administrators should become familiar with:
